SEEKING THEATER MU’S NEXT OFFICE MANAGER

Status: part time, 20-25 hr/week
Location: Minneapolis-Saint Paul (hybrid flexible, office at 755 Prior Ave. N #107, Saint Paul)
Salary Range: $23-$26 commensurate in experience
The office manager is the steward of the Theater Mu office and front desk. This role works closely with other Mu staff and artists by supporting day-to-day administrative operations. As the manager of the box office, front desk phone, and Mu’s general email account, the office manager is often the first point of contact for artists and audiences interacting with Mu. An ideal candidate has strong attention to detail, is able to keep track of multiple complex projects simultaneously, and has a strong passion for art and community.
The office manager reports to the managing director. Theater Mu’s staff all work a hybrid schedule, with both in-person and remote hours each week. Regular schedule is Monday through Friday with some evenings and weekends required throughout the year.

KEY RESPONSIBILITIES
General administrative duties - 15%, maintain organizational calendars & databases
Provides general administrative support to staff for Google Suite, Slack, Asana, and other tech apps.
Retrieves and distributes physical mail.
Transports event supplies, assists in event setup and takedown as necessary in coordination with other Mu staff.
Front desk and office maintenance - 25%, monitors office supply levels and restocks as necessary
Light office maintenance duties such as vacuuming and garbage removal.
Monitors the front desk email, responds to queries or redirects to the appropriate staff member.
Answers the front desk phone, answering queries or redirecting to the appropriate staff member.
Contracting & Payroll - 30%
Maintains Artist Contract status tracker.
Sends contracts for signature, files contracts appropriately in Google Drive.
Collaborates with managing director and accounting team to ensure successful payroll, invoicing, and company credit cards.
Salesforce Administration - 30%
Trains & performs as Salesforce administrator.
Lead architect of ticketable events in Patron Manager.
Completes regular contact qualification.
Responds to patron queries regarding selling, refunds and exchanges.
Creates automation emails related to ticket orders.
Lead supervisor of box office staff during production, performs box office duties at events as necessary.
Supports Mu staff in Salesforce Admin activities such as reporting and tech support.
QUALIFICATIONS
Excellent attention to detail.
Demonstrated experience in a customer service or administrative role.
Strong writing and communication skills, especially connecting with diverse audiences.
Commitment to equity, inclusion, and community-centered work.
Ability to work occasional evenings and weekends.
Experience with coordination of event logistics including but not limited to physical installation of box office set-up, conference/lobby displays, and assistance in strike.
Previous experience with administrative apps (Salesforce, Google Suite, Slack, Asana) a plus.
